SUMMARY: Brief summary and purpose of the job

The Unit Coordinator works in tandem with the PCS Manager to assure the efficient daily operation of a patient care unit(s). Serves as administrative support to the PCS Manager. Instrumental in the successful completion of projects either in leading or development roles. Exhibits behaviors that are consistent with patient focused care. Responsible for preparation of payroll, staff schedules, and non-clinical systems as directed. May assume additional roles as directed by PCS Manager.

Compliance Responsibilities:

• Understands and adheres to North Shore Medical Centers' (NSMC) compliance standards as they appear in Corporate Compliance Policies, Code of Conduct, and NSMC's Policies.

• Professional, Supervisory and Managerial Staff, keep abreast of all pertinent federal, state and NSMC regulations, laws, and policies as they presently exist and as they change or are modified.

• Managerial Staff ensure that their staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs.

Job Specific Responsibilities: (e.g. clerical, patient care, food service, supervisory, etc.)

• Participates in the orientation of new employees and assists with training of existing staff in new systems and technology.

• Facilitates development of staff according to the unit, patient care services organizational goals.

• Submits staff payroll according to existing payroll practices and procedures.

• Coordinates staffing schedules within unit specific guidelines.

• Coordinates administrative, clerical and ancillary activities on unit.

• Manages relevant databases and promotes security of information.

• Develops and maintains systems to ensure confidentiality and integrity of patient record in compliance with hospital policies, procedures, and standards.

• Contributes to the development of policies, procedures and systems which assure the effective functioning of the unit consistent with departmental and organizational standards

• Assures that information for billing and reporting is accurate, consistent, and complete.

• Produces and maintains management data related to operational needs and projects.

• Provides administration support to PCS Manager, i.e. maintaining employee records, tracking various projects.

• Updates and maintains the integrity of manuals and communicates any changes to staff

• Identifies unit and inter-departmental operational issues and initiates corrective plans to improve performance.

• Coordinates patient placement and maintains systems for an accurate and up-to-date unit census.

• Participates in planning, justification, implementation, and monitoring the unit's equipment and supplies

• Ensures that equipment is safe and in proper working condition in coordination with other departments.

• Initiates systems to monitor/investigate expenses (e.g. surveying consumption and patient charges: waste levels; unauthorized/questionable use of materials/facilities).

• Collaborates with the patient care team in planning and facilitating the introduction of new equipment/supplies.

• Establishes unit/environmental surveillance systems and ensures problems are resolved. Prepares occurrence reports as required.

• Surveys unit structural appearance and institutes repairs.

• Assumes responsibility for own professional development.

• Identifies learning needs and develops plan to enhance professional development.

• Adheres to NSMC requirements for required training.

• Develops and participates in projects to enhance operations.

• Participates in strategic planning and develops quality improvement programs to enhance efficiencies, reduce costs and consistently improve customer service.

• Collaborates with Safety/Security to address all issues of patient and staff security. Assists in investigating unit security issues and lost patient valuables.

• Follows hospital policy and procedures regarding patient and staff safety, maintains a safe environment.

• Incorporates infection control standards in daily activities.

• Adheres to standards established for attendance and is punctual.

• Adheres to Patient Care Services dress code standard. Wears employee name badge/picture identification.

• Establishes and maintains positive interpersonal relationships with patients, visitors, and hospital personnel; respectful of diverse workforce and community.

• Understands service excellence standards and integrates them in all day to day activities.

• Communicates with customers and responds to their feedback by direct action and/or communication with management staff.

Fiscal Responsibilities: (Include sized of annual budget)

• Responsible for preparation of payroll, staff schedules, and non-clinical systems as directed.

Qualifications
Job Qualifications: Brief description of the minimum qualifications for the job.

Skills: (Specific learned activity gained through training, e.g., typing, presentation skills, computer skills; e.g. Excel; CPR,ACLS)

• Required: Medical terminology required. Strong analytical, organizational, interpersonal and customer service skills required. Must have ability to prioritize, delegate and manage multiple responsibilities. Word processing skills required, spreadsheet and database skills preferred. Requires intense attention, concentration, good visual, verbal, hearing skills, and attention to detail. Effectively interacts with a wide range of personality types and ages is necessary. Effectively interacts with diverse cultural backgrounds (i.e. Southeast Asia,Greek, Hispanic).
