We are looking for a contract Transaction Coordinator to cover a leave, temp role to start Late January - August 2025 approx. Cover Irvine and Yorba Linda Offices, with main base in Irvine and going to Yorba Linda office 1-2 days per week. Heavy volume work flow, must have real estate and/or transaction coordinator experience.
Pay $27-29 phr.

The Transactions Coordinator functions as the main contact point for all parties involved in a transaction. The TC will utilize his/her expertise in the real estate, title, or escrow industry to service real estate agents with sales transactions. The responsibility of the TC is to ensure the files are complete per First Team Real Estate and Bureau of Real Estate guidelines and requirements. The TC ensures all files processed are accurate, up-to-date and contain a valuable log of communication throughout the transaction, therefore minimizing the company and agent's liability, which affects the timely close of the escrow process.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
TRANSACTION PROCESSING
Opening, processing and closing procedures include the following:
¦ Creates and maintains Broker file utilizing Skyslope Software system
¦ Receives contract and information about the parties involved from agent
¦ Makes initial contact with parties involved
¦ Sends out all paperwork related to transactions and ensures proper preparation prior to submission
¦ Prepares Commission Disbursement Authorization (CDA)
¦ Requests all necessary signatures on all paperwork related to transactions
¦ Keeps all parties informed and involved during the transaction process in a timely and professional manner
¦ Follows up on receipt of property inspection(s), i.e. physical, termite, city, etc. May place the order upon request
¦ Follows up on receipt of Escrow Deposit and return of Escrow Instructions
¦ Follows up on receipt of Title Report
¦ Follows up on receipt of Zone Report
¦ Ensures escrow parties are notified of any changes such as close of escrow date, credits, etc.
¦ Shares transaction progress with agents in a timely manner
¦ Takes a proactive approach when handling files - remains a step ahead
¦ Focuses on minimizing risk, having a defensible file, and maintaining a high level of customer service
¦ Finalizes any missing or pending paperwork
¦ Follows up on Home Warranties and orders when applicable
¦ Coordinates final walkthroughs with both agents
¦ Uploads necessary paperwork to fulfill broker file
¦ Requests file audits throughout the transaction in compliance with company standards
¦ Records closing information and closes out the file
¦ Forwards completed file copy via CD or link to agent and client
COMPLIANCE
¦ If licensed, maintains license and hangs with First Team Real Estate
¦ Collects contracts and submits CDAs
¦ Processes files timely
¦ Follow Company and DRE guidelines/policies
¦ Proper storage of files and confidential information
¦ Follows Company and DRE guidelines regarding Trust Log handling
ADMINISTRATION
¦ Use of Core Back Office
¦ Proper collection of TC fee
¦ Updates monthly Tracking Report timely
¦ Use of Skyslope Software
CUSTOMER SERVICE
¦ Promote services during agent orientations
¦ Attentive and Perceptive
¦ Takes initiative
