12-month position. Monday - Friday 8:00 am - 4:30 pm with 30-minute lunch. Occasional weekend and evening hours are required during peak periods of operation.

Position Summary:

Under general supervision, performs secretarial work such as composing routine correspondence, maintaining records, and obtaining & providing factual information requiring a knowledge of policies & procedures of both the assigned & related work areas. Duties involve the use of personal computers, computer terminals, and a variety of sorfware and/or conventional office equipment with frequent interruptions. High volume of public contact.

Specific Job Duties & Tasks:

  • Interviewing, hiring, training, and supervising part-time student desk staff
  • Providing primary clerical support, including desk coverage
  • Operating office equipment including copy machines, computer, etc., in performance of regular tasks
  • Composing correspondence within established guidelines
  • Answering a multi-line phone, screening calls, and taking organized messages
  • Greeting, assisting, and scheduling appointments and room reservations with the public, students, faculty, and staff
  • Referring students, public, and staff to proper campus resources
  • Maintaining records on personnel, student discipline, and financial-related information utilizing software such as StarRez, Maxient, and MAUI, as well as assisting with or performing reconciliation of Transaction Detail Reports (TDR)
  • Maintaining security and key inventory records of the building, including completing key inventory
  • Maintaining office supplies
  • Sorting & filing forms, reports, and correspondence according to departmental policies and procedures
  • Assisting staff with emergency response procedures & taking appropriate action
  • Participating in ongoing staff meetings and staff developments
  • Attending meetings that include one-on-ones with supervisor, weekly Residence Education staff meeting, and participating in Residence Education committees if interested.

Required Qualifications:
  • Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to four years of full-time employment and includes the use of word processing.
Desirable Qualifications:
  • Experience leading others and/or supervision of staff
  • Experience working in a position that requires high volume public contact, multi-tasking and answering multi-line phones on a regular basis involving internal and external customers.
  • Experience working in a customer service environment.
  • Excellent verbal, written and interpersonal communication, with the ability to effectively work in collaboration with staff, students and the public.
  • Demonstrated ability to follow oral/written instructions, collect data, and maintain records.
  • Demonstrated ability to learn and use technology including email and Microsoft Office products.
  • Excellent organizational skills, as well as demonstrated attention to detail.
  • Demonstrated ability to use good judgment.
