The University of Miami/UHealth Dean's Office has an exciting opportunity for a Full Time Project Manager 1 to work at the Medical Campus in Miami, FL 33136.

CORE SUMMARY

The Project Manager 1 (H) oversees the planning, implementation, and tracking of a variety of projects to ensure the successful development, completion, and implementation of department projects and initiatives.

CORE JOB FUNCTIONS

Defines the scope of projects in conjunction with leadership. Discusses the objectives and measures upon which the project will be evaluated at its completion. Determines the resources required to complete each project. Establishes and documents comprehensive project plans and timelines, which identify and sequences the activities needed to successfully complete projects. Reviews project schedules with leadership and other staff that will be affected by the project activities. Monitors the progress of the projects and makes adjustments to ensure successful completion. Consults with the appropriate leadership on the selection of staff to assist with projects. Assigns project task to the identified project team for handling. Ensures all project personnel receive orientation that is appropriate to the project. Manages project staff according to the established policies and practices of the organization. Reviews the quality of work completed with the project team on a regular basis to ensure that work produced meets project standards. Documents all project-related activities and ensures project files are maintained and secured accordingly. Creates a communication schedule to update stakeholders, including appropriate staff in the organization on the progress of projects. Prepares presentations and presents status reports for leadership. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures. Ensures employees are trained on controls within the function and on university policy and procedures.

Education:

Bachelor's degree in relevant field

Experience:

Minimum 3 years of relevant experience

  • Ability to establish department goals and objectives that support the strategic plan.
  • Ability to effectively plan, delegate and/or supervise the work of others.

DEPARTMENT ADDENDUM

Department Specific Functions

The Project Manager will oversee the planning, execution, and delivery of research and education projects within the Miller School of Medicine, working closely with the Assistant Vice President of Administration in the Dean's office. This role requires a deep understanding of an academic medical center research processes, educational program management, and project management expertise. The Project Manager will ensure that projects are completed on time, within scope, and within budget, while adhering to academic and healthcare regulations and standards.

Project Management:

  • Assist in planning, executing, and closing research and education projects in alignment with executive priorities.
  • Develop and maintain project schedules, timelines, and budgets specific to research and educational initiatives.
  • Track project progress and provide regular updates to stakeholders, focusing on research milestones and educational outcomes.

Administrative Support:

  • Manage executive calendars, including scheduling meetings, coordinating travel, and organizing events related to research and education projects.
  • Prepare and distribute meeting agendas, minutes, and follow-up action items specific to research and educational initiatives.
  • Conduct research and compile reports as needed for project-related activities.

Communication:

  • Serve as a liaison between executives, researchers, faculty, and internal/external stakeholders.
  • Facilitate effective communication across departments, ensuring that information related to research and education projects is shared promptly.
  • Prepare presentations and materials for meetings and briefings on research and educational topics.

Data Management:

  • Maintain organized project documentation, including files, records, and databases related to research and education projects.
  • Assist in monitoring project performance metrics and deliverables specific to research and educational outcomes.
  • Ensure compliance with academic and healthcare policies and procedures related to project management.

Problem Solving:

  • Identify potential project risks and develop mitigation strategies, especially in the context of research and education projects.
  • Proactively address challenges and propose solutions to keep research and educational projects on track.
  • Support continuous improvement initiatives within the executive administration team, with a focus on research and education.

Additional Responsibilities:

  • Coordinate internal and external resources to ensure seamless project execution, especially for research and educational initiatives.
  • Manage relationships with stakeholders, including researchers, faculty, students, medical staff, administrators, and external partners.
  • Ensure that all projects comply with academic and healthcare regulations and standards.
  • Track project performance and make necessary adjustments to meet research and educational objectives.
  • Apply organizational change management tools and processes to support successful project adoption in the research and education context.
  • Lead multidisciplinary project teams, fostering a positive team environment and ensuring engagement in research and education initiatives.

Department Specific Qualifications

Education:

Bachelor's degree in relevant field

Certification and Licensing:

Project Management Professional (PMP) certification or equivalent is preferred.

Experience:

Minimum 3 years of relevant experience

  • Knowledge of business and management principles.
