GENERAL SUMMARY/ OVERVIEW STATEMENT:

The Practice Coordinator for Infusion Services, in collaboration with the Practice Manager, is responsible for the overall management and operations of the Ambulatory Infusion Center at Brigham and Women's Hospital's Main Campus in Boston, 850 Boylston in Chestnut Hill, and other locations as determined. Reporting to the Practice Manager, the Practice Coordinator has direct oversight of scheduling patients approved for whitebag specialty pharmacy benefit. This entails management of the coordination of prescriptions, shipments, and delivery. This individual will work alongside administrative staff such as front desk and scheduling staff. The Practice Coordinator will support the Clinics daily operations, patient flow, referral, and medication coordination process.

The Practice Coordinator is an integral part of implementing BWH Ambulatory initiatives and strategic growth plans. The individual will take direction from the Administrative Director and Practice Manager while working closely with referring physicians, peers, and staff to create a positive culture and work environment while achieving service excellence for our patients.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

The responsibilities of this position are broad, generally including operational duties, patient throughout and scheduling.

Specific responsibilities as follows:

  • Patient registration, scheduling, and billing processes for department. This includes management and delegation of the Referral Workque for scheduling white bag patient appointments.
  • Partnership with Prior Authorization team to ensure maintenance of patient insurance approvals for scheduled appointments.
  • Coordination of prescriptions from Physicians to the specified Specialty Pharmacy.
  • Facilitation of shipment and delivery with designation Specialty Pharmacies.
  • Partnership with our Infusion Pharmacy on troubleshooting issues and reviewing cases on a routine basis.
  • Provide hands-on-support to clinics' front desk functions such as checking in patients, checking out patients, other functions as directed by Practice Manager.
  • Support Practice Manager in training and orientation of new team members.
  • Lead initiatives to create high level of customer service by working closely with all staff and providers to create the ideal patient experience and environment.
  • Work alongside Practice Manager on development and implementation of process improvement initiatives and new projects.
  • Demonstrates knowledge and promotes administrative and employee policies.
  • Professional individual with strong communication and interpersonal skills. Demonstrate independent judgment within the scope of this position, while maintaining effective relations with others.
  • All other duties, as assigned.

QUALIFICATIONS:

  • Bachelor's degree strongly preferred.
  • Clinical Operations and Scheduling experience preferred, ideally within Infusion or in Ambulatory Healthcare Practice Environment.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Highly proficient in all communication skills (phone, verbal and written). Ability to handle sensitive information and situations with poise and professionalism.
  • Commitment to service excellence, with the ability to demonstrate a consistently professional level of customer service with all patients, providers, and colleagues.
  • Strong organizational, coordination and judgment skills. Ability to prioritize effectively.
  • Analytical ability and strong problem-solving skills (critical thinking)
  • Ability to manage multiple tasks effectively, following established protocols, and work within systems.
  • Excellent interpersonal skills.
  • Willing and able to work with Practice Manager to balance initiatives and projects to meet all deadlines.
  • Must be pro-active and handle complex and diverse patient interactions in a variety of situations, some of which are stressful.
  • Demonstrated ability in project management and project implementation.
  • Excellent organizational, analytical, time-management and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency with computer skills. Ability to use all applicable applications at highest competency level.
  • Ability to problem solves and troubleshoots. Ability to analyze a situation and determine best course of action within established guidelines.
  • Advanced understanding and use of medical terminology.
  • Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission, CMS and HIPAA.

WORKING CONDITIONS:

Works in a Hospital based Ambulatory Practice. Normal patient environments where there are some exposures to communicable diseases, unpleasant odors, needle, and blood products.

SUPERVISORY RESPONSIBILITY:

No direct supervisory responsibilities.

FISCAL RESPONSIBILITY:

No direct financial or fiscal responsibilities.

Qualifications
QUALIFICATIONS:
