Adams & Martin Group has parterned with a reputable mid-sized CA based law firm that is seeking to hire a Legal Executive Assistant/Research & Administrative Coordinator to work with the managing partner of the firm.

The Legal Executive Assistant/Research & Administrative Coordinator plays a crucial role in supporting the efficient functioning of the law firm by undertaking a diverse range of responsibilities encompassing executive assistance duties, research projects, and time capturing, billing and administrative tasks. This multifaceted role requires strong organizational skills, attention to detail, discretion, and the ability to handle sensitive information with confidentiality.

Responsibilities:

1. Executive Assistance:

• Act as a liaison with or between attorneys, staff, clients, and other stakeholders.

• Assist with drafting, revising and proofreading legal documents, memos, and presentations.

• Prepare expense reports.

• Collaborate with the accounting department to ensure accurate client billing statements.

• Handle confidential information with discretion and professionalism.

2. Research Coordination and Legal Support:

• Conduct legal and factual research using online databases, libraries, and other resources, and compile relevant information as to clients, judges, opposing counsel, and for specific cases and matters.

• Analyze and summarize research for use in letters, memoranda, briefs and legal proceedings for strategic and tactical decision-making.

• Assist attorneys in preparing for trials, hearings, and negotiations.

• Track legislative developments, case updates, and industry trends affecting clients' interests.

• Collaborate with attorneys and paralegals to assist in organizing and managing research projects effectively.

• Collect and supervise the distribution of new appellate decisions and relevant articles to attorneys and paralegals in the different practice groups.

3. Administrative Coordinator:

• Manage schedules, appointments, and deadlines.

• Coordinate and calendar meetings, conferences, and travel arrangements, both business and personal.

• Prepare and distribute legal documents, correspondence, and reports.

• Prepare seminars.

• Maintain filing systems, both electronic and physical, ensuring accuracy and accessibility.

• Collect and input accurate time entries while gathering information from various sources to ensure complete and precise time documentation.

• Handle incoming calls, emails, and other communications, directing them appropriately.
