Job Summary:

The primary role of the Office Coordinator is to oversee and coordinate the management and execution of the Wellstar Center for Cardiovascular Care operational initiatives related to all CV physician, hospital and practice scheduling/coverage as well as Payroll, Accounts Payable, Strata Project Management and Lawson Processing. The Office Coordinator will serve as a WCCC operational resource working with CV leadership, physician leads, physicians and team members to support and enhance operations. The OC will be responsible for providing support to the WCCC executives to successfully carry out the duties and responsibilities of the position and to ensure the smooth and efficient operation of the administrative offices.
This role includes both administrative (organizational) and strategic (consultative) responsibilities for managing projects/initiatives.
Incumbent must have ability to make independent decisions and function with minimal supervision. Must have flexibility to work under continually changing priorities. Must be able to maintain confidentiality of sensitive matters coming into and out of the administrative offices.
Core Responsibilities and Essential Functions:

Coordinate and manage the execution of the Wellstar Center for Cardiovascular Care operational initiatives related to all CV physician, hospital and practice scheduling/coverage.
*Manage Qgenda and Epic schedules for providers, subspecialties, hospitals and office locations.
*Identify and resolve issues and conflicts.
*Enforce the practice board rules and regulations for the schedule's compliance.
*Ability to work under continually changing priorities.
Serve as project manager as assigned by the Chief Cardiology Officer & AVP CV Services
*Serve as a WCCC operational resource working with CV Leadership, physician leads, physicians and team members to support and enhance WCCC operations.
*Responsible for providing support to the WCCC executives to successfully carry out the duties and responsibilities of the position and to ensure the smooth and efficient operation of the administrative offices.
*Serve as liaison between Chief, Administrators and facility.
*Responsible for thoroughly understanding and communicating stakeholder requirements to appropriate team members, and managing all requirements accordingly.
*Lead the gathering and dissemination of materials for meetings, provide edits and restructuring.
Miscellaneous Duties
*Ability to independently prioritize major assignments.
*Ability to make independent decisions and function with minimal supervision.
*Ensure coverage for admin and all office locations at all times.
*Develop and deliver quality and financial progress reports, tracking and documentation.
*Ensure coordination and arrangements are made for all key meetings.
*Assists in managing calendars, schedules, payroll, accounts payable, finance, Strata projects and Lawson processing.
*Ability to maintain confidentiality of sensitive matters coming into and out of the CCC administrative offices.
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:

  • GED General or High School Diploma General-Preferred

Required Minimum License(s) and Certification(s):

All certifications are required upon hire unless otherwise stated.

    Additional License(s) and Certification(s):

    Required Minimum Experience:

    Minimum 10 years in healthcare/cardiovascular medicine specialty Required
    Required Minimum Skills:

    Must have organizational skills. High
    Must be able to multi-task and work in an ambiguous environment. High
    Ability to facilitate and apply critical thinking skills to resolve issues or problems. Medium
    Must be able to handle calls and visitors in a professional and courteous manner. High
    Must have the ability to accept responsibility and follow through with assignments. Medium
    Experience with Excel, Word, PowerPoint, Qgenda and Adobe a must. High
    Must be able to effectively communicate. High
    Previous hospital healthcare experience preferred. Medium
    Must maintain professional atmosphere in office. Medium
    Must be able to work with physicians effectively. High
    Must be able to work in a fast paced, high stress environment. High
    Must be able to manager confidential information. High
    Sense of responsibility to self, team and project. High
