Duties: Provides strategic and administrative leadership to support a broad range of activities for the Department. Acts as the liaison to the Chair and Vice Chairs by providing strategic planning and administration of Department activities; acts as primary liaison with all administrative areas to ensure high level of solution driven problem solving. The primary source of administrative and management support for the Chair. Manages the high volume of 200+ complex teaching contract process working in consultation with the Chair and Vice Chairs. Manages and monitors Department budgets; interprets and assesses requests, analyzes options and makes recommendations to assure the Chair has the best input to make financial decisions which impact the department budget. Assess department administrative support needs and services on an ongoing basis; oversees the workload balance of faculty-staff assignments. Directs and manages administrative support staff, including hiring, performance reviews, and the merit increase process.
Qualifications: Bachelor's degree required with 5 to 7 years progressively responsible work experience or equivalent; higher education or healthcare administrative experience strongly preferred. Masters degree preferred. Executive level administrative experience required; prior budget management essential, faculty personnel administration experience essential. Pre-submission grant support a plus. Solid supervisory and team building experience essential.
Demonstrated excellent organizational, communication and interpersonal skills; project management and customer service skills with the ability to thrive in a fast paced environment with competing deadlines and priorities. The position requires strong initiative with the capacity to exercise discretion in working with confidential and sensitive matters. A systems thinker with a results orientation as well as strong negotiation skills is needed for success in this role. Must be able to interact effectively with all levels and to demonstrate tact and diplomacy with multiple constituents while focusing on results.
Strong writing and editing skills with knowledge of scientific and medical terminology essential. (Writing samples are required.) Current knowledge of the grants proposal process needed. Demonstrated intermediate to advanced level PC skills including all facets of Microsoft Office and the ability to effectively utilize the Internet required. Ability to work independently as well as an effective team player. Knowledge of University policies and procedures desired.
